SMTP Gmail Settings: Everything you need to know about

If you’re struggling to configure your Gmail SMTP settings, don’t stress, because it’s really common. But if your goal is to send automated emails or run a cold email campaign, getting your SMTP setup right is non-negotiable.

Why? Because the wrong settings mean undelivered emails, blocked messages, and even a damaged sender reputation. So here is everything you need to know about what SMTP is, why it matters, and especially how to set up Gmail’s SMTP for different use cases!

What is SMTP?

SMTP (Simple Mail Transfer Protocol) is the protocol that sends your emails from one server to another, ensuring they reach the recipient’s inbox. Think of it as the postal service for email—it picks up your message, processes it, and delivers it to the right mailbox.

But here’s the catch: SMTP needs to be configured correctly to work efficiently. It’s as simple as that. So if misconfigured, your emails might quickly:

  • Get blocked by email providers,
  • Land in spam folders instead of inboxes,
  • Fail to send due to authentication issues.

Why Do You Need to Set Up Gmail SMTP Settings?

If you’re just sending casual emails through the Gmail web interface, you don’t need to mess with SMTP settings, because Google takes care of everything for you. But the moment you start using third-party apps, email automation tools, CRMs, or bulk email platforms, you’ll quickly realize that Gmail’s default setup isn’t enough.

Here’s why setting up Gmail SMTP properly is as huge as it seems:

  1. Seamless third-party integration: It doesn’t matter if you're using Outlook, Thunderbird, Apple Mail, or a CRM like HubSpot, as Gmail SMTP allows all of these tools to send emails on your behalf while keeping everything centralized under one Gmail account.
  2. Automated email sending: If you’re used to run cold outreach campaigns, transactional emails, or even automated follow-ups, just know that Gmail SMTP will ensure that your emails are reliably sent and processed while avoiding spam filters.
  3. Better email deliverability: Sending emails without proper authentication can result in them being rejected or landing in spam, so this is why you really need to just set up your SMTP settings correctly in order to pass authentication checks.
  4. Security & compliance: Google’s SMTP setup requires authentication, meaning unauthorized senders can’t hijack your email identity. Plus, it works seamlessly with DKIM, SPF, and DMARC to prevent spoofing and phishing attacks.
  5. Overcome Gmail’s sending limits: A regular Gmail account limits you to 500 emails per day, while Google Workspace accounts can send up to 2,000 emails daily. Using Gmail SMTP lets you maximize this limit while keeping your sender reputation intact.

Simply put, without the right SMTP setup, you’re limiting your email capabilities and risking lower inbox placement.

Not sure if your emails are reaching inboxes or getting lost in spam? Stop guessing and start testing. Mailreach’s Email Spam Test gives you real-time insights on where your emails land and what’s hurting your deliverability. Fix issues before they cost you leads.

Gmail SMTP Settings

To configure Gmail SMTP, use the following settings:

  • SMTP Server: smtp.gmail.com
  • Port: 587 (TLS) or 465 (SSL)
  • Encryption: TLS/SSL
  • Authentication: Required
  • Username: Your full Gmail email address (you@gmail.com)
  • Password: Your Gmail account password or App Password (if 2FA is enabled)

But here are a few important notes:

  • If two-factor authentication (2FA) is enabled, you must generate an App Password instead of using your regular Gmail password.
  • Google limits SMTP sending to 500 emails/day for free Gmail accounts and 2,000 emails/day for Google Workspace accounts.

The whole point here is to ensure a completely seamless email delivery while protecting your domain reputation at the same time. And nothing less. Never.

G Suite Relay SMTP Settings

For businesses using Google Workspace (formerly G Suite), Gmail’s standard SMTP settings can feel way too restrictive, and we understand it. So if you need greater flexibility, higher sending limits, and stronger security, G Suite Relay SMTP is THE solution.

If you’re still hesitant about using G Suite Relay instead of standard Gmail SMTP, here are some reasons that may convince you:

  • Higher email sending limits: Unlike regular Gmail, G Suite Relay removes the 500-email daily limit and lets businesses send up to 10,000 emails per day, depending on their Google Workspace plan.
  • More control over email security: G Suite Relay allows IP whitelisting—meaning only approved servers can send emails on your behalf. This prevents unauthorized senders from abusing your domain.
  • Improved deliverability for bulk emails: Since G Suite Relay operates under Google’s trusted email infrastructure, it significantly reduces the chances of your emails falling in spam traps compared to third-party mail servers.
  • Perfect for organizations sending emails on behalf of multiple users: If your business has multiple departments, sales teams, or automated workflows, G Suite Relay allows you to send emails from different addresses under the same domain.

Here’s what you need to set it up:

  • SMTP Server: smtp-relay.gmail.com
  • Port Options: 587 (TLS) | 465 (SSL) | 25 (non-secure)
  • Authentication: IP whitelisting or OAuth2
  • Allowed Senders: Any email address within your Google Workspace domain

So just keep in mind that if your business sends a high volume of emails, G Suite Relay is a must-have to scale without deliverability issues. Just like that.

Restricted Gmail SMTP Settings

You also need to know that more and more organizations such as government agencies or financial institutions are looking for tight control over outgoing emails. And this is exactly where Google’s restricted SMTP settings come into play, because:

  • It only allows internal sending: Unlike standard SMTP settings, restricted Gmail SMTP only lets you send emails within your organization—no external recipients allowed.
  • Prevents email abuse and spoofing: Since emails can’t be sent externally, it eliminates the risk of unauthorized users exploiting your domain to send phishing emails.
  • Ideal for internal reports and system notifications: If your team needs to send automated reports, alerts, or system notifications, restricted SMTP ensures these emails stay within your company’s email ecosystem.

Here’s what you need to do to successfully configure restricted Gmail SMTP:

  • SMTP Server: aspmx.l.google.com
  • Port: 25 (non-secure)
  • Authentication: Not required
  • Allowed Senders: Only Google Workspace accounts within the same organization

Who Should Use Restricted SMTP? It’s quite simple in fact:

  • IT and security teams managing email security for large organizations.
  • Companies handling sensitive data that must remain internal.
  • Businesses preventing unauthorized external emails to avoid spam complaints.

If keeping emails within a controlled environment is fundamental, restricted SMTP settings really provide an extra layer of security and compliance that no company can dismiss.
